Job Description
Vitol BioMethane, LLC (VBM) is looking for an Project Controls Analyst for our Landfill Gas to Energy (LFGTE) projects located throughout the country. This is an opportunity to join a growing team and be a part of the energy transition by supporting production of a renewable energy source.
The Project Controls Analyst is responsible for managing purchase orders, tracking requisitions, verifying receipt of goods, and maintaining accurate spend forecasts at both project and program levels. This role ensures financial transparency, timely procurement, and cost control across LFGTE projects. The Analyst collaborates with Engineers, Site Managers, contract engineering firms, and the Operations team to align procurement and forecasting with project schedules and execution requirements. The ideal candidate is highly organized, proficient in financial tracking tools, and thrives in a dynamic, small-team environment.
Key Responsibilities:
Purchase Order and Requisition Tracking:
Create, track, and manage purchase orders (POs) for equipment, materials, and services (e.g., gas collection systems, RNG upgrading equipment, contractor services).
Process requisitions from Site Managers and engineering firms, ensuring alignment with project budgets and specifications.
Maintain a centralized PO and requisition log, tracking status (e.g., issued, approved, fulfilled) and ensuring compliance with procurement policies.
Coordinate with vendors and contract engineering firms to resolve discrepancies in POs or requisitions.
Receipting of Goods:
Verify receipt of goods and services at project sites, ensuring deliveries match POs in quantity, quality, and specifications.
Work with Site Managers to confirm on-site receipt of equipment (e.g., piping, compressors, or membrane systems) and document delivery status.
Reconcile delivery records with invoices to facilitate accurate payment processing and avoid overbilling.
Flag delays or issues in goods receipt, recommending actions to maintain project schedules.
Project-Level Spend Forecast Maintenance and Generation:
Develop and maintain project-specific spend forecasts, incorporating costs for equipment, labor (including contract workforce), and services.
Update forecasts regularly based on actual expenditures, PO commitments, and anticipated costs (e.g., installation, commissioning).
Analyze variances between forecasted and actual spend, providing insights to help mitigate cost overruns.
Program-Level Spend Forecast Maintenance and Generation:
Aggregate project-level forecasts into a program-level spend forecast, providing a holistic view of financial commitments across the 4–8 projects.
Monitor program-level budget trends, identifying risks or opportunities for cost optimization across the portfolio.
Generate reports to support strategic decisions, including cash flow projections and renewable energy credit (e.g., RINs) financial impacts.
Update program forecasts to reflect changes in project timelines, scope, or market conditions (e.g., equipment price fluctuations).
Coordination and Reporting:
Collaborate with contract engineering firms to ensure timely submission of cost and procurement data for accurate forecasting.
Work with the Operations to track costs related to safety, maintenance and regulatory compliance (e.g., permits, emissions monitoring equipment).
Prepare and distribute regular financial and procurement status reports, including KPIs like cost variance, PO fulfillment rates, and forecast accuracy.
Data Management and Tools:
Maintain accurate records of POs, requisitions, receipts, and forecasts in project management or ERP systems (e.g., Excel, Microsoft Project, or Smartsheet).
Ensure data integrity for audits and regulatory reporting, particularly for environmental compliance and credits.
Streamline procurement and forecasting processes using templates or automated tools to enhance efficiency.
Qualifications
Education: Bachelor’s degree in Business Administration, Finance, Supply Chain Management, Engineering, or a related field. Equivalent experience may be considered.
Experience:
2–5 years of experience in project controls, procurement, cost forecasting, or financial analysis, preferably in energy, construction, or environmental industries.
Experience with purchase order management, goods receipting, and spend forecasting in project-based environments.
Familiarity with renewable energy projects (e.g., biogas, RNG) or contract workforce management is a plus.
Skills:
Proficiency in project management or financial tools (e.g., Excel, Microsoft Project, QuickBooks, or similar) for tracking POs, requisitions, and forecasts.
Strong analytical skills for cost forecasting, variance analysis, and risk identification.
Excellent organizational and communication skills to coordinate with vendors, contractors, and internal teams.
Detail-oriented with a focus on accuracy in financial and procurement data.
Knowledge of environmental regulations or renewable energy credits (e.g., RINs, LCFS) is an advantage.
Certifications (Preferred but not required):
Certified Associate in Project Management (CAPM), Certified Cost Professional (CCP), or supply chain certifications (e.g., CPIM).
Travel:
Willingness to travel to project sites (landfills or RNG facilities) as needed to verify goods receipt or support procurement audits (estimated 0–10% travel, depending on project locations).
Physical Requirements:
Primarily office-based or remote work with occasional site visits to landfills or RNG facilities.
Comfortable with site visits requiring PPE (e.g., hard hat, safety vest) per HSE protocols.
Maintain a current and valid Driver's License
